Re: Coates Road Annexation Petition Packet
Dear Grant:
Thank you for your email of July 06, 2006 with the name of the proposed
annexation, a Master Property List, and map of the proposed area.
However, I am not able to proceed due to the following:
1. Master Property List
A. Not in correct format (use format enclosed).
• There is no "Total Value" column.
• There are no "no's" listed in "Petitioner" column.
• "Value' column has 2004 land values only listed;
this column should contain the 2006 total assessed values.
Rename "Value" column to "Petitioner Values".
• Remove petitioner addresses from Master Property List.
• There are eight incorrect or incomplete owners listed -
correctthose.
• Total the "Total Value" column and total the "Petitioner
Values" column.
• Calculate and list your "Percentage Signed".
• If either the "Total Value" column or the "Petitioner Values"
column has a parcel with a zero value, please enter -0-.

2. Petitions
• Not in correct format (use format enclosed, change
verbiage to fit your city.)
Use one petition per owner.
• Each "yes" owner is to sign only once, listing all of that
owner's applicable parcel numbers on the one petition.
• Larry Johnson's is invalid at this time due to him signing
two or more times.
If property is owned by a company or corporation, proof
will need to be attached to their petition showing that the
person signing is authorized to sign for the company or
corporation.
• Do not include the "no" owners on the petition sheets
(only include them on the Master Property List).
• Do not put assessed values on the petition sheets
(only put them on the Master Property List).
• Submit individual petitions in the same order as the
Master Property List.
Food stained pages are unacceptable.
For your convenience, I have enclosed Summary printouts for each
parcel showing the 2006 assessed values. I will not be doing all of
this in the future.
When a proposed annexation packet is received, it should be correct
and complete. In the future, if it is not, it will be rejected until the
proper corrections have been made, and the packet re-submitted.
After new petitions (in the correct format) have been signed for each
"yes" owner; and a new Master Property List has been made,
resubmit to me. (I will hold your cover letter, legal description, and
map from the first packet.)
